PHONE CONFERENCE OF THE HEPA EUROPE STEERING COMMITTEE 15 MAY 2014 HEPA Europe European network for the promotion of Health-Enhancing Physical Activity 10 July 2014 Executive summary 1. Background and overview This meeting of the Steering Committee of HEPA Europe was convened to review progress with implementation of the 2013/2014 work programme and to update on relevant international developments. In addition, the applications for membership received since the last meeting were assessed. Input was also given to the preparations of the 10th annual meeting and 5th conference in August 2014 in Zurich. A pending application to host the 11th annual meeting was also assessed. In addition, next steps of the communication and the funding strategies for HEPA Europe were presented. Furthermore, next steps with regard to the short- and medium-term funding were agreed. The meeting was held as a phone conference, chaired by Tommi Vasankari, UKK Centre for Health Promotion Research, Finland, and Willem van Mechelen, Free University Medical Centre, the Netherlands, and attended by 9 members of the Steering Committee as well as by one WHO staff from the Regional Office for Europe. The phone conference was kindly prepared and assisted by the Institute of Social and Preventive Medicine of the University of Zurich. 2. Evaluation of applications for membership Four of the five new applications received since the last meeting were supported by the participants. These applicants will become temporary members and will be proposed to the network for confirmation at the 10th annual meeting on 29 August in Zurich, Switzerland. The fifth applicant will be offered the status of observer in agreement with previous decisions on applicants with commercial partner or lobbying links to commercial partners. The Committee also decided to propose a change to the Terms of Reference of the network with regard to removing member institutions without an active contact person after a suitable time period from the list of members. 3. Update on recent, relevant activities and developments Updates were given on the ongoing activities at the international level, including: • activities of the WHO • activities of the EU • other international activities 1 Report Phone conference of the HEPA Europe Steering Committee 4. Work programme 2013/2014 and funding Participants took note of the update on the state of affairs on the implementation of the work programme. They also agreed next steps regarding the short- and medium-term funding for HEPA Europe. 5. Annual meetings of HEPA Europe An update on preparations of the 10th annual meeting and 5th conference in August 2014 in Zurich, Switzerland, was given. The meeting will be hosted by the University of Zurich, supported by the Swiss Federal Office of Public Health and the Health Promotion Foundation, and co-sponsored by WHO Regional Office for Europe as well as a range of other international and national bodies. The pending expressions of interest to host the annual meeting 2015 was further discussed and a final decision will be taken shortly. 6. Other business and next meetings of the Steering Committee A phone conference will take place on 16 July to discuss new applications and the draft work programme as well as other urgent items in time before the annual meeting. The Steering Committee will hold an informal meeting on 26 August before the start of the annual meeting and conference. Further meeting dates will be set during this meeting.
